How do I archive emails on my local computer to reduce IMAP disk usage on the server?

Most email programs allow you to create a local store for email, you can then move emails to the local store from your IMAP folders.

If you don't currently have the account setup on your computer (e.g. if you're primarily accessing it using Web Mail) you will need to set it up first.

We have tutorials available for some email clients explaining how to setup the email client (you must use IMAP rather than POP3 when selecting the type) our recommended settings are as follows.

Mailbox type: IMAP
IMAP Hostname (Incoming server): mail.<yourdomain.ext>
SMTP Hostname (Outgoing server): mail.<yourdomain.ext>
Username: (your full email address)
Password: (mailbox password as set in your control panel)
Outbound authentication (SMTP AUTH) must also be enabled using the same credentials as the incoming server.


Once you have the Email account setup in a local email client you will need to create a local archive.

For example using Outlook 365.

1) Click File, click "Account Settings" and select "Account Settings" from the drop down.

2) Select the "Data Files" tab.

3) Click "Add..." and enter a new name such as "Local Archive".

4) Click Close.


You should now see "Local Archive" in the list of folders, you can create new sub-folders are normal.

To move existing emails click on the folder and select multiple messages (On Windows you can select multiple messages by holding CTRL whilst clicking, or by holding SHIFT when clicking you can select a range of messages).

1) Right click on the selected messages and select "Move" and select "Other Folder".

2) Find the new "Local Archive" folder and select it.

3) Select the target folder or if you haven't already created a folder or want to move them to a new folder click "New..." enter the new folder name (for example "2026") and click "OK".

4) Click "OK" again to move the messages.

Depending on how many messages are moved and the speed of the internet connection/computer it may take a few minutes to complete. You can then go back and select/move any further messages creating new folders within "Local Archive" as required.

Please remember once the messages are moved from our server to your local device they will no longer be included in our server backups so you must ensure the mail stored locally is backed up regularly.
